Outlook Exchange

A study of 2 people who are on Outlook Exchange.

  • 1st is a Program Manager at Microsoft in Redmond (25-50,000 people on campus)
  • 2nd is an Associate at a small Venture Capital Firm (25-30 people in the office)
  • Both are in their mid-20s and work in the technology industry

I asked them to forward a day's worth of email into a separate folder in their Outlook client, including emails from mailing lists. We then went through each email and answered the following question:

  1. If you could assign a Triage status to this email, what would it be?
  2. Was the email TO: you? CC? BCC? or TO: a list you're on?
  3. Description of the email
  4. Did you read it
  5. If it was an invitation, what was your reply?
  6. Did you flag it?
  7. Did you file it? If so, how did you file it?
  8. Did it require you to go to another system? (only applied to Microsoft PM)
  9. Did you reply to it? If so, how soon?
  10. Did it require a follow up action? If so, what was it?
