Operations Meeting Minutes 2006-07-18

Staffing

• Bizdev position : Progress done, not final though.
• Cosmo/scooby : Doing phone screens right now, will fly a couple of people for in person interviews.
• Interns : Philippe to send emails to mentors to prepare a mid term presentation for an upcoming staff meeting. Philippe coordinating.
• Lakiba (HR) : will meet with a few of us in the coming weeks.

Meeting Policy

Issues with Bridge and rooms reservation. Policy:

• Reservations take priorities over non reserved or lengthy meetings.
• Remote people should be included as planned.

Photo page

• Of everyone at OSAF (wholeoffice as well?). With all the interns, looks like it would be a good idea.
• Shawn suggested to take pictures and post them.
• Katie acting to get that done with Shawn.

Branding

• Pieter presented a plan, see [Projects.BrandingExercise]
• Next actions : position exercise, brand association, identity
• Naming : we need a name for the hosted service before September (cosmo-demo or scooby-demo not adequate), may be a better place holder
• OSCON : Pieter will provide some guidance for OSAF OSCON's attendees, we won't have positioning done that early though
• Schedule : Realistic? Somewhat. We should use it as a sort of forcing function so that we move forward effectively

Long important threads on multiple lists

• Would be good to have a per thread summary for those long threads
• Would be good to have that done by a neutral party
• Avoid cross posting, email the other lists with a link back to the thread if really needed
• Promote the practice of cutting the thread instead of quoting the entire past thread

Outsourcing email

Is that an option for the service?

• Pros
  • Good strategy to figure out what we really need
  • Operational advantages (less labor)
• Cons
  • Cost: break even point may be far in the future
  • Outside our control
  • Less customization possible

We need to identify what we really need for the first 10000 users. Flexibility (customization) important at that stage. May be we could outsource at the SMTP/IMAP admin and storage, not the integration within the service.

Staff meeting agenda

• May be Pieter on Branding (Katie to follow up with him)

Cosmo Scooby Sprint

Cosmo Scooby Sprint week will be week before the picnic (August 14th to 18th).
